Recommended tools

The stack we actually build on — for agencies and ops teams.

We get asked constantly what we use. This is the real list — the tools we reach for on client builds, why each earns its place, and how to try them. We only recommend what we run ourselves.

Workflow automation

Relay.app

Human-in-the-loop workflow automation — multi-step playbooks with approvals and AI steps you can actually read and maintain.

It's our default automation tool, and we're a Certified Relay.app Partner. Where Zapier and Make leave you with brittle one-step Zaps, Relay handles the workflows that need judgment — approvals, AI drafting, real branching — without becoming a pile of mystery automations nobody can debug.

Forms, scheduling & sites

Fillout & Zite

Powerful forms and scheduling (Fillout) plus fast site-building (Zite) — one company, two tools that pair cleanly.

We use Fillout for intake, qualification, and discovery-call booking, and Zite for quick on-brand front-ends — then wire submissions straight into the CRM and automations so a lead becomes action instead of a row in a spreadsheet. It's what our own booking flow runs on.

AI meeting notes

Fathom

An AI meeting recorder and notetaker that captures calls, transcribes them, and writes the summary and action items automatically.

The easiest meeting recorder we've used — it just works, free tier included. We lean on it so discovery and client calls turn into searchable notes and follow-ups without anyone typing them up. The recovered admin time alone pays for it.

The foundation

Notion

Everything above plugs into a Notion operating system — the single source of truth we architect for clients. It's the foundation, not an add-on. If you want that built and run for you, that's what we do.

Some links above are affiliate links — we may earn a commission if you sign up, at no extra cost to you. We only recommend tools we genuinely build on; the commission doesn't change what makes this list.

Want these wired into one system that runs itself?

The tools are only as good as how they connect. We design, build, and run the operating system that ties them together — starting with a free operations audit.
