The best Notion consultants and agencies in 2026, by specialty

An honest comparison of Notion consultants and agencies: who builds team workspaces, who teaches you to build your own, published pricing, and what 'certified' means in Notion's partner program.

By Julius Alba

Short answer: the right Notion consultant depends on what you need built and for whom. For a done-for-you team workspace, look at implementation agencies such as Optemization, PremiumOps, Notioners, Notion State, Konduit Operations, MF Consulting, The Notion Bar, and Notionalize. If you want to learn to build it yourself, Notion Mastery and Thomas Frank teach it well. If you only need a starting point, template makers like Easlo and Gridfiti are cheaper than any consultant.

Disclosure: Notionalize wrote this list and is on it. We checked every other entry against the provider's own website and Notion's consultant directory on October 19, 2026, and we describe them in their own terms. Directory ratings and budget bands change often, so check before you buy.

A note on "certified"

Notion runs an official Solutions Partner program with Bronze, Silver, Gold, and Platinum tiers. Tiers depend on how many certified people a firm has, an 80% client-satisfaction score, and service revenue. To become a consulting partner, a person completes Notion's Essentials, Workflows, and Advanced badges, then passes the Administrator and Service Specialist certifications.

Notion's public consultant directory doesn't show partner tiers. So when a site says "certified Notion partner," that's the firm's own description. Certifications belong to individuals and renew every two years, and many can be checked on Credly. For what it's worth, Notionalize is an Official Notion Ambassador and holds the Notion Settings & Sharing certification, and it isn't a listed Solutions Partner.

Hands-on implementation: they build it for your team

Optemization. Says it builds "AI-powered Notion workspaces that teams actually use." It sells fixed-scope projects to launch a new workspace, reset a messy one, or migrate from Confluence or Airtable, plus a monthly retainer. Its directory budget band starts at $10,000, so it suits companies with a real budget and a growing team.

PremiumOps. Done-for-you workspaces, automations, AI, team training, and client portals, positioned as an "Agency AI OS." Its directory profile has more than a hundred ratings and a wide budget band, which makes it one of the most visible options for agencies.

Notioners. Based in London and Milan. Workspace design, custom AI agents, training and coaching, and websites built on Notion as a CMS. A good fit if you want the workspace and a public site from the same team.

Notion State. Designs and implements Notion workspaces together with the business processes behind them, and mentions enterprise clients. A good fit for larger organisations that need process work alongside the build.

Konduit Operations. An operations consultancy in Vancouver doing workflow analysis, workspace builds, and migrations, with a published $175/hour rate. Useful if you prefer hourly billing.

MF Consulting (Matthias Frank). A Berlin-based consultant for growing teams: system architecture, training, governance, and ongoing support, including an eight-week transformation program. He also publishes the most detailed public research on Notion consulting prices.

The Notion Bar. Frances Odera Matthews' studio in London works with creative agencies, coaching practices, startups, and VCs on custom builds, workshops, and coaching, alongside courses and templates.

Notionalize (us). We build connected Notion systems for small teams and agencies: clients, projects, tasks, meetings, and payments in one workspace. We train your people on it (Notion AI and agents included), connect it to tools like Stripe and e-signature apps, and stay on to maintain it. Pricing is public: $250 working sessions, fixed projects from $5,000, and the 90-Day Notion Transformation for teams of 5–10 at $9,999. We've worked with AgencyU, The Interesting Times, construction companies, B2B and SaaS teams, startups, and mastermind communities since 2020.

Learn it yourself: courses and templates

Notion Mastery. Marie Poulin and Ben Borowski's course and community for individuals and small business owners who want to build their own systems. They offer limited consulting for teams; the directory profile currently isn't taking bookings.

Thomas Frank. Templates like Ultimate Brain and a free Notion Fundamentals course. Excellent for personal systems; he doesn't offer consulting.

August Bradley. The Notion Life Design program teaches personal life systems. His own site says it isn't meant for team systems.

Easlo and Gridfiti. Template shops. A template is the cheapest way to start, but someone on your team still has to adapt it and keep it running.

How to choose

  1. Decide what you're buying. A finished team system, training so your team can build it, or a template to adapt. Each option above sells one of those.
  2. Match the budget band. Several agencies start at $10,000. If your budget is smaller, look at hourly help, a fixed small project, or a course.
  3. Ask who trains your team. Most abandoned workspaces were built well and rolled out badly. Ask how many training hours are included and who writes the how-to guides.
  4. Check credentials yourself. Ask for the person's Credly badges and look the firm up in Notion's directory.

FAQ

Who are the best Notion consultants for agencies?

PremiumOps positions itself around agencies, and Notionalize builds client, project, and payment systems for small agencies. Optemization and Notion State suit larger, faster-growing companies with bigger budgets.

Is there an official list of certified Notion consultants?

Notion's consultant directory lists consultants by service, budget, language, and region, and its Solutions Partner program has Bronze to Platinum tiers. The directory doesn't display tiers, so verify individual certifications on Credly.

How much do Notion consultants charge?

Published directory budget bands run from $250 to over $20,000 per project, and Konduit Operations lists $175/hour. A 2026 survey of 112 consultants found €100–€150 an hour was the most common band. See our cost guide for the full breakdown.

Should I hire a consultant or buy a template?

Buy a template if one person will set it up and maintain it. Hire a consultant when several people need the same system, data has to move from other tools, or the workspace has to connect to the rest of your stack.
